Acting as Company Secretary

The role of a company secretary in a leasehold management company is crucial to ensure efficient administration of the company. As Company Secretary we assist the block with complying with all legislation and keeping up-to-date records at Companies House. We help with correspondence between the leasehold company directors and members. As Company Secretary we arrange and attend the AGM, after which we will provide meeting minutes to all property owners.


Preparation of Service Charge and/or Ground Rent Invoices, including Raising of Special Levies as and when required

The service charges payable under the lease will be raised and sent by us to each property owner. Should additional works arise, then we will raise and collect Special Levies, ensuring that there are enough funds prior to contracting works.


Management of the company bank account, including regular bank reconciliations

All funds are held in a separate bank account solely for the use of a single client. In order to keep current accounting records, each bank account is reconciled on a monthly basis. We are happy to discuss individual banking requirements.


Payment of supplier invoices

Good contractors can be hard to find. To ensure retention of a properties favoured suppliers we aim to pay all invoices within 14 days of receipt.


Preparation of annual service charge budgets

Drafting budgets for agreement at the AGM is very important. By agreeing the budget leaseholders can stay in control of the properties finances and can plan for future maintenance projects.


Obtaining quotations for works and services as required and Dealing with suppliers on your behalf

We build a rapport with your chosen suppliers and will liaise with them on behalf of the property. Should additional works or a change of contractor be required we will obtain quotes for review by the property directors. We will work with any suppliers that the property uses, or we can recommend contractor should this be required.
